Draft invoices and quotes
Oct 26, 2026
When you create an invoice or a quote and do not finish it, nothing is lost. WHBMP saves what you typed as a draft while you work, and only staff can see a draft. A client never sees it, never gets an email about it and cannot open it.
How it works
- Open Billing > Invoices > Create Invoice (or Billing > Quotes > Create Quote).
- Choose the client and start typing. As soon as there is a client and at least one line, the page saves a draft every few seconds. A small note next to the buttons shows Draft saved at 10:42.
- Leave the page whenever you like. The draft stays in the list.
- Press Create Invoice (or Create Quote) when it is ready. That finishes the same draft: it does not make a second one.
A page that is left empty, or has no client yet, saves nothing.
Finding and finishing a draft
- On Invoices, choose the Draft filter. On Quotes, choose Draft. A draft invoice shows as Draft #123 until it is issued, because it has no invoice number yet.
- Open the draft. A draft invoice shows a note that only staff can see it, and two buttons: Issue Invoice and Delete Draft.
- Issue Invoice gives the invoice its number, makes it Unpaid and, from then on, the client can see it. An invoice needs at least one line with an amount to be issued.
- Delete Draft removes it for good. Only a draft can be deleted this way: a real invoice is cancelled instead.
- A draft quote is edited like any quote. When you set its status to Sent and save, the client can see it.
What a draft does not do
- It is not counted in reports, revenue or overdue lists, and no reminder is sent for it.
- It does not trigger the Invoice Created webhook until it is issued.
- Account credit is applied to an invoice when it is issued, not while it is a draft.
- The client's dashboard, invoice list, quotes list and statement never include a draft.
