Email and SMTP

Oct 15, 2026

WHBMP sends mail for orders, invoices, payments, tickets, domains and account events. Out of the box, mail is only logged. You must connect a real SMTP server before clients receive anything.

Connect SMTP

  1. Open Settings > General Settings > Mail.
  2. Enter the SMTP Host, Port, Encryption (TLS or SSL), SMTP Username and SMTP Password. The password is stored encrypted.
  3. Set System Emails From Name and From Email. Use an address on a domain you control, with SPF and DKIM set up, or messages land in spam.
  4. Click Send Test Email and check that it arrives.

If your server blocks port 25, use port 587 (TLS) or 465 (SSL) with a relay such as your mail host, Amazon SES, Mailgun or Brevo.

Email templates

Settings > Email Templates lists every email WHBMP sends. Edit the subject and body of each one. Placeholders such as the client name and invoice number are filled in when the message is sent. A built-in template that is missing is recreated automatically when needed.

Other languages

A client receives the email in their own language. Under Other Languages on the edit page you write the subject and body for each enabled language. For a built-in template you have not changed, WHBMP already sends its Spanish, German, French or Arabic translation. See Languages.

You can attach files to a template (for example a welcome PDF). Where attachments are stored is set in File Storage.

Look and feel

On the Mail tab you can set the Email Accent Colour, a Global Email Signature, Global Email CSS Styling and the Client Email Header Content and Footer Content that wrap every email.

Copies and PDFs

  • BCC Messages: a copy of every client email goes to the address you give.
  • Enable PDF Invoices (Invoices tab) attaches the invoice PDF to the new-invoice and payment-confirmation emails.

What clients can turn off

Each client can switch off invoice, support, product, domain, affiliate and general emails in Account > Email preferences. Account, invitation and admin emails are always sent.

Logs

Settings > System Logs has an email log: every message with its status (sent, failed or queued). Failed messages show the reason. Old entries can be removed in System Cleanup.

Troubleshooting

  • Nothing arrives and the log says "sent": it is a spam or SPF/DKIM problem at the receiving side.
  • The test email fails: check host, port, encryption and credentials, and that the server may connect out to that port.
  • Mail only goes out slowly: queued mail is sent by the cron job, so make sure it runs.
