Design your invoices with Document Designer
Oct 31, 2026
What you get
Document Designer changes how your invoice, quote and statement PDFs and your system emails look. It is under Settings > Document Designer once the plugin is installed and activated. The page has three tabs: Invoices (the design and the invoice lines), Quotes & statements (they follow the invoice design) and Emails.
Style
- Presets: Classic, Modern, Minimal, Bold and Corporate. Each is a complete look for the title, the table and the total.
- Accent colour: the colour of the title, the table and the total. Leave it empty to use the preset's own colour.
- Font: the preset's font, DejaVu Sans, Helvetica, Times or Courier. A language that needs more letters (Arabic, for example) still gets a font that has them.
Invoice lines
- Simple lines: description and amount. A configurable option sits under its product, and a discount is its own line under the product it belongs to.
- Table with discounts: three money columns, Price, Discount and Net price, so a discount shows beside the price it reduces.
- Detailed: the table with discounts, plus the service period of each line.
New orders list each priced configurable option on its own line, under its product. An option that costs nothing, such as "None", stays in the product's description. Invoices made before this keep their lines as they were, and show a discount as a row of its own.
Logo, text and paper
- Logo position and height: left, centre or right, between 20 and 120 pixels.
- Header text: printed at the very top of every page, for example your address or tax number.
- Footer text: printed at the very bottom of every page, for example bank details.
- Paper size: A4, Letter or Legal, or the choice in General Settings > Invoices.
Currency symbol
Amounts show the currency's symbol, such as ₹ or $, placed before or after the number as set for that currency under Currencies. A currency without a symbol shows its code instead.
Signature
Under Signature (optional) upload a PNG or JPG image (up to 1 MB; a transparent PNG looks best) and add a name and a title. They appear at the bottom right of invoices and quotes. Leave everything empty for no signature. Tick Remove the signature image to delete the image.
Emails
Under Emails choose a look for every email the system sends:
- Classic: a white card with a coloured top line.
- Flat: a square card with a coloured top line.
- Minimal: a thin outline and small corners.
- Banner: a coloured band with your logo above the card.
You can also set the accent colour (buttons, links, top line), the page colour, a font, the shape of buttons (rounded, square or pill) and the logo position and height. Leave the accent colour empty to keep the colour from General Settings > Mail. The text of each email is still edited in Email Templates.
Status watermark
A large word crosses the page diagonally: PAID in green, UNPAID and OVERDUE in red, PARTIALLY PAID in amber, CANCELLED in grey and REFUNDED in blue. A printed or forwarded copy shows its status at a glance. It is on by default; untick Status watermark under Logo, text and paper to remove it. Drafts have no watermark.
A watermark makes a change easy to spot, but a PDF editor can still alter a file. The invoice in the client area is always the one that counts.
Preview
The page shows a sample invoice and a sample email that follow your choices as you change them, and Open a sample PDF shows the exact PDF. Nothing changes for your clients until you click Save design.
